Hello,

I would like to have the draft of my reference letter attached reviewed. At the same time, it would be beneficial to have comments as well as a suggestion for changes with a grade of 2-3.

I worked as a production manager and was regularly responsible for approximately 10 employees, in the case of replacements for up to 20 employees. The area of responsibility is mistakenly listed as work preparation and will be changed to assembly management.

Mr. XXXXXXXXXXXX, born on XXXXXXXXX, was employed at our company in assembly XXXXXXXX from September 1, 2008, to August 31, 2009, in the area of work preparation. His tasks included, among others:
- Capacity planning in assembly
- Delivery date agreements with sales
- Monitoring the timely completion of customer orders
- Creating work instructions and ensuring their implementation
- Reduction of lead times in assembly
- Contact person for internal departments for technical questions

Mr. Wolters has extensive and versatile expertise, which he always used confidently and purposefully in practice. Thanks to his very quick grasp of situations, Mr. Wolters immediately understood difficult situations and recognized the essential aspects. His pronounced analytical thinking, which enabled Mr. Wolters to make independent, balanced, and accurate judgments even in difficult situations, is particularly noteworthy.

Mr. Wolters always fully identified with his tasks, without hesitation he successfully went beyond regular working hours for our company and willingly took on additional responsibilities. He was always able to handle heavy workloads.

Mr. Wolters always proceeded extremely systematically and results-oriented. He worked reliably and accurately. He found effective solutions for unforeseen problems and successfully implemented them in practice.

We were always very satisfied with his performance. Mr. Wolters got along well with all contacts and always approached them with his friendly, open, and courteous manner.

The temporary employment relationship ends on August 31, 2009. Unfortunately, we cannot offer Mr. Wolters further employment. We thank him for the good cooperation and wish him all the best for his future career and life path.

Based on the facts you have provided and taking into consideration your input, I would like to answer your question as follows:

Generally, when an employment relationship ends, an employee is entitled to a qualified work reference that includes information about the nature and duration of the work, as well as the performance and behavior of the employee.

In addition to a detailed assessment of performance and behavior, it is common practice for these to be summarized and rated with a final grade.

Therefore, I recommend that the somewhat vague performance assessment "We were always very satisfied with his performance" be changed to "He always completed the tasks assigned to him to our full satisfaction" (Grade 2) or "He always completed the tasks assigned to him to our fullest satisfaction" (Grade 1).

The statement "Mr. Wolters also found effective solutions for unforeseen problems..." should be changed to "(...) effective solutions (...)".

Furthermore, the assessment of your behavior is too brief. Once again, a summary rating is missing, which should be as follows for good behavior:

"His behavior towards superiors and colleagues was always impeccable" (Grade 1) or

"His behavior towards superiors and colleagues was impeccable" (Grade 2).

If you had contact with customers, they should also be included in the list, at the end.

Furthermore, according to your description, you were responsible for 10 to 20 employees.

This should be included in the job description and a review of your leadership behavior should be included in the behavior assessment.

Common formulations for this would be:

"He was able to convince and motivate his employees in such a way that he was able to successfully accomplish all tasks assigned to him" (very good) or

"He convinced his employees and promoted cooperation" (good).

Otherwise, the reference does not contain any abnormalities or hidden messages.

Please note that the reference should be free of spelling errors and not be folded.

Furthermore, the function of the issuer should be indicated and the reference should be dated to the end of the employment relationship.
